

Project Administrator - Data Centre
Supporting the Project Manager and being responsible for providing administrative, logistical, coordination, and document management support to ensure delivery of the project. Acts as a key enabler for communication, scheduling, reporting, and project governance.
Purpose: To provide an effective, efficient, and professional support service to the Project Team and to support the Project Teams in the execution of their work through the management and delivery of administrative processes. To provide an effective, efficient, and professional support service to all internal and external customers, whilst maintaining high levels of quality and service, and to ensure a smooth and efficient flow of information, manage business correspondence and process it whilst maintaining confidentiality at all times.
Key responsibilities
1. Project administration and coordination by supporting the Project Manager and Team
· Organise and coordinate meetings, workshops, and site events.
· Manage calendars, meeting invitations, agendas, and minutes.
· Support project logistics such as travel arrangements, access requests, onboarding of contractors, and coordination with site support functions.
2. Document management
· Ensure all engineering, construction, supplier, and contractor documents are uploaded, named, and stored according to project standards.
· Track incoming/outgoing documents, ensuring timely distribution to relevant stakeholders.
· Coordinate with the Technical Teams to ensure all technical deliverables follow controlled document processes.
3. Communication
· Facilitate communication between internal teams, external partners, contractors, and Verne Global stakeholders.
· Assist in preparing correspondence, presentations, dashboards, and weekly/monthly reporting materials.
· Maintain project mailing lists, distribution groups, and structured communication channels.
4. Project Support
· Support the Project Manager in maintaining schedules, follow-up actions, and milestone tracking.
· Help track progress against deadlines and escalate risks of delay.
· Assist in organising progress meetings, steering groups, and discipline coordination meetings.
· Maintain action logs, decision registers, and meeting minutes with clear follow-ups.
5. Finance Support
· Assist in tracking project budgets, purchase orders, invoices, and variations.
6. Health & Safety Support
· Support the Technical Team by ensuring safety documentation, audits, and toolbox talks are recorded and filed correctly.
· Maintain registers for inductions, training sessions, safety reports, and compliance documentation.
· Ensure project correspondence, approvals, and statutory documents are properly archived.
· Assist in preparing materials required for audits, inspections, and governance reviews.
7. Reporting (weekly and monthly)
· Compile inputs for weekly and monthly project reports (progress, documentation status, risks, upcoming milestones, KPIs).
· Maintain dashboards and reporting templates used by the Project Team.
· Ensure reporting deadlines are met, and data accuracy is maintained across all sources.
8. General Support
· Assist all Technical Managers with administrative and coordination tasks.
· Maintain daily site logs when required and support project record-keeping.
· Act as a consistent on-site point of coordination for contractors, suppliers, and visitors.
· Represent the project team professionally and support stakeholder relationships.
· Relevant administrative or technical education.
· Minimum 3 Years of Administrative or Project Administration experience preferred.
· Experience in construction, engineering, or industrial projects is an advantage BUT NOT essential.
· Excellent organisational and coordination skills.
· Strong English (written and spoken).
· Proficient in MS Office (Excel, Word, PowerPoint).
· Ability to manage schedules, meeting coordination, and follow-up actions.
· Structured, detail-oriented, able to manage multiple simultaneous tasks.
· Reliable, process-driven, and proactive approach to work
