Morning Operations Agent — part-time, Reykjavík
Your Friend In Reykjavík is looking for someone to run our mornings.
We're an award-winning travel agency and tour operator based at Hlésgata 1, with over 9,000 reviews from guests who've walked this city with us.
We're also Whisper's exclusive operational partner in Iceland. Whisper supplies the audio guide systems used at places like the Vatican, where over three million devices go out every year, and Reykjavík is one of sixteen Whisper offices worldwide. It's the equipment the big international operators ask for — and getting it where it needs to be, on time, is what this job is built around.
THE WORK
07:30–11:30, Monday to Friday. Twenty hours a week, based at our office on Hlésgata — you're only out of the building when there's a delivery or pickup to make. Afternoons and weekends are yours; if there's extra work going and you want it, it's there and it's paid on top.
- Whisper equipment logistics: delivering systems to hotels and restaurants for arriving groups, collecting them after departure, counting and charging units, keeping the inventory accurate
- Working with Whisper's international team and warehouses: booking group orders into their system, keeping each booking updated from delivery through to return, reporting lost or damaged units, and arranging equipment shipments in and out of Iceland
- Service: answering tickets and emails, and handling the early calls that come in before the rest of the team starts
- Errands around the city: supply runs, post, dropping things to guides, collecting from suppliers
- And other tasks as they come up
WHAT WE NEED
Excellent organisation. This is the heart of the job. Bookings, tickets, stock records and deliveries all move at once, and there's nobody else in the office in the morning to catch what gets dropped.
Experience in tourism. You need to understand how tickets, bookings and requests actually work — what a customer is asking for when they write in, and what has to happen behind it.
Experience with Freshdesk or a similar ticketing system. Bókun is a real plus.
A driving licence. There are usually a couple of drop-offs or pickups to make around the city, three or four mornings a week, plus the odd errand.
Reliability above everything else. A group arrives at 09:00 expecting their equipment to be waiting. If it isn't, that's a bad morning for a client on the other side of the world.
Confident written English. You'll be in contact with colleagues abroad most days, and the bookings and stock records you keep are what they work from. Icelandic is a real advantage — a lot of our suppliers work in it.
Accuracy with numbers. Equipment counts have to be right; a unit logged wrong is a unit we pay for.
Someone comfortable being the only person in the office early — making a call without checking first, and telling us afterwards. And someone who doesn't mind a trip out into whatever weather Reykjavík is having.
TERMS
Permanent position, 50% job. Pay follows the VR collective agreement for leisure and travel service companies, with room to discuss based on experience. Afternoon and weekend hours are paid on top when there's work to be done and you're up for it. Formal review of salary and scope after three months. There's room to grow the role further if there's interest on both sides.
