Supply Chain Manager

• Job Purpose is to ensure that the entire Purchasing is done as per the forecast and system requirements daily.

  Efficiently manage the activities of the stores, delivery and stores staff for the receipt, storage and delivery of all products stocked by the company, to ensure that all activities meet or exceed agreed service levels and comply with the written processes and policies of the company.

   

  Job Responsibilites and Activities:

   

  Store operations:

  • Perform accurate inventory every 10 days and capture it on Winrest, ERP system.
  • Ensure that the storekeepers issue stock as per the requirements on the output form.
  • Monitors the temperature of all products and reports unacceptable deviations immediately to avoid damaged product.
  • Operates with due regard to the safety of all personnel and products.
  • Completes all documentation within the required time and maintains all records.
  • Ensure that the output form system is correctly managed
  • Ensure all products in stores are set as per Winrest requirements.
  • Flag stock that is due to expire to avoid it being expired and un-used.
  • Ensure that the wastage report is done daily and captured on Winrest.
  • Ensure that all required training is done on time for relevant employees and training records maintained.

   

  Receiving Operations:

  • Ensure that the goods are received at the correct quantity
  • Ensure that the goods are received at the agreed price
  • Ensure that goods are received at the correct temperatures
  • Ensure that goods are received at the best quality
  • Ensure that goods are rejected if the criteria are not met
  • Ensure credit notes are requested for rejected goods
  • Ensure that all administration work for receiving, is up to date and provided to Finance for billing purposes
  • Ensure all receipt notes are captured accurately on Winrest
  • Ensure that goods are dispatched timeously once received, to the correct stores
  • Maintain and enforce work procedure

   

  Buying:

  • Must have some contribution to Food Cost Reduction
  • Must ensure that stock is purchased to meet the business needs and keeping a constant check on stock levels
  • Ensure the Winrest system is used effective for purchasing and any anomaly is reported accordingly
  • To ensure that best price, rebates and quality is procured and secured from reputable suppliers.
  • Work closely with the Purchasing Manager to ensure that there is no or minimum shortage levels.
  • If there is a shortage of product, all relevant parties must be informed immediately, including the airline
  • Further ensure that substitute products are sourced and recommended, during a shortage situation.
  • Ensure that all relevant invoices are reconciled and captured on WR accordingly

   

  QHSE Management:

  • Ensure all employees of supply department adhere to the company’s HACCP Policy’s rules and regulations including, but not limited to personal hygiene, CCP documentation, food storage, hand-washing rules and regulations, glove policy, sickness policy.
  • To check that all delivery vehicles are at the required temperatures and reject delivery that does comply to Newrest standards
  • Ensure in maintaining a clean and well-organised warehouse and ensures that all company Health & Safety policies and procedures are maintained
  • Regularly surveys the stores for leakages, damage, pest infestation and hygiene and reports such to the Unit Manager and QHSE Manager.

   

  General:

  • Support initiatives from management in the creation of rational processes within the department to control labour costs and reduce food cost
  • Coordinate with other departments such as Winrest, Menu design, Transport, Production, Pick n Pack to ensure effective operations in the department
  • Ensure communication with Maintenance for Equipment Repairs or other maintenance need inside the department
  • Observe all safety and security rules and procedures.
  • Ensure that all equipment and materials are not left in dangerous state.
  • Ensure all QHSE rules & procedures are followed, and hazards/near miss and accidents are properly reported.
  • Any other reasonable task that may be required by management

   

• Education and Qualification:

   

  Qualifications:

  · Minimum College degree or similar work experience

  · Diploma in Purchasing or other relevant acquired experience in the field

  · Fully competent in MS Office

  · Very good knowledge of internal purchasing system or other purchasing systems

  · Management experience, minimum 2 years

   

  Experience:

  · Minimum 3 years’ experience in this role or a similar role
