Office Manager and Executive Assistant

Oculis seeks a proactive and organized Office Manager and Executive Assistant to oversee the day-to-day operations of its Icelandic office. This role will support a productive and organized work environment, provide high-level administrative support to selected executive team members, and assist various departments in achieving company goals.

Office Administration

  • Manage office supplies inventory and handle orders as needed
  • Oversee maintenance of office facilities and equipment, ensuring functionality and cleanliness
  • Coordinate with vendors and service providers to maintain smooth office operations
  • Support onboarding of new employees and maintaining employee records
  • Manage incoming and outgoing mail, packages, and other office correspondence
  • Work with other office managers from the different locations to create global operational processes and consistency
  • Perform other related duties as assigned, in alignment with the scope of office administration and executive support

 

Executive Support

  • Provide dedicated administrative support to selected members of the executive team, including calendar management, expense management, meeting coordination, and travel arrangements
  • Assist with planning and organizing meetings, events, and special projects
  • Creation and amendment of purchase orders in ERP D365 to support procurement processes
  • Assist in document filing, collection of signatures, and similar administrative tasks

Required Skills & Qualifications

  • Strong organizational and multitasking abilities
  • Excellent communication and interpersonal skills
  • Proficiency in office software (e.g., Microsoft Office Suite) and Experience with ERP systems in the areas of procurement (PR, POs…)
  • Fluent in written and spoken English
  • Self-motivated and able to work independently, as well as part of a team

Preferred Qualifications

  • Previous experience in office management or a similar administrative role
  • Experience with event planning and coordination
  • Previous experience with procurement processes
  • Previous experience in a small company environment
