

Business Operations Coordinator
The Business Operations Coordinator will lead core operational functions across HR and admin, project management, finance support, and security and process improvements. This role will ensure smooth operations across our Icelandic headquarters, Irish office, and remote workforce. You will drive cultural initiatives, manage HR processes, lead key projects (including security and grant applications), and ensure timely payments to professionals delivering sessions on our platform.

People Operations

Lead all HR processes across Iceland, Ireland, and remote staff, including responsibility for onboarding and offboarding, vacation management, DEI and employee lifecycle management.

Be the first point of contact for HR-related queries, escalating issues to senior management when appropriate.

Build, develop and implement a company-wide performance appraisal system

Support employee engagement, cultural initiatives, “office” culture and wellbeing programs to strengthen company culture across multiple locations.
Project Management & Compliance

Lead and coordinate security-related projects with Kara’s security team, ensuring compliance with relevant standards and regulations.

Manage and coordinate grant applications, including gathering necessary documentation, meeting deadlines, and tracking progress.

Oversee cross-functional projects, ensuring deliverables are met on time and within budget.

Support the CEO regarding board documentation and regulatory reports.
Financial & Operational Support

Ensure and optimise accurate and timely payments to professionals delivering services on the Kara platform.

Support the Head of Finance in streamlining financial processes and providing operational insights.

Identify opportunities for automation and process improvements to enhance efficiency across the business and different teams.
Essential
-
Bachelor’s degree (BA/BS) in Business, HR, Operations, Finance, Law or a related field.

5+ years’ experience in an operations, HR, or business management role (startup or scale-up environment preferred).

Excellent written and verbal Icelandic and English skills

Experience in using and implementing technical solutions to optimise processes

Strong understanding of HR processes, employment lifecycle management, and cultural initiatives.

Proven project management skills, with experience coordinating cross-functional projects.

Excellent organisational and communication skills, as well as the ability and understanding to work across multiple countries, cultures, and remote teams.

Financial acumen, with experience supporting payroll or vendor payments.

Proactive mindset with a track record of identifying and implementing process improvements.
